Tips / Tip
Build the agenda template once as a prompt, not a document nobody fills in
Every recurring meeting eventually gets a shared "agenda template" document, and every recurring meeting eventually stops using it, because a blank template is exactly as much effort to fill in as writing an agenda from scratch - so whoever's chairing just types a quick list into the invite five minutes before, and the template quietly dies in the shared drive.
Stop templating the document and template the prompt instead. Save one prompt that takes last week's leftover open items plus this week's new ones and returns a ready-to-paste agenda in your fixed structure - standing items, carried-forward items flagged as such, new items, a rough time allocation if the meeting's time-boxed. The template lives in the prompt's shape, not in a document someone has to remember to open and not delete the placeholder text from.
This matters more than it sounds like it should, because the thing that actually makes a recurring meeting useful is carrying items forward properly - the action nobody closed last time is exactly the thing most likely to quietly vanish when an agenda gets rebuilt from memory under time pressure. A prompt that's explicitly told to check last week's leftovers against this week's new items catches that automatically, every time, without anyone having to remember to scroll back through old minutes first.
Keep the previous week's agenda or action list somewhere you can paste from in ten seconds - a pinned note, the top of a running document - because the whole benefit disappears if building this week's agenda still means digging through old emails to find what didn't get covered last time.
