Strip a finished document back to a reusable template
The best template you've got is probably a document you've already written well. So skip the blank page: give the AI the finished one and ask it to turn it into the template.
Turn the document below into a reusable template.
- Keep the headings, order, tables and boilerplate wording exactly.
- Replace anything specific to this one (names, dates, figures,
decisions, project details) with a placeholder in [SQUARE BRACKETS]
that says what goes there, like [CLIENT NAME] or [DATE OF INCIDENT].
- Under each heading add one line of guidance, in italics, saying what
to write, roughly how long, and what to leave out.
- At the end, list every placeholder once so I can check none were
missed.
- Output as plain text, with the headings on their own lines, so I can
paste it into Word.
Document: [PASTE]
That beats "make me a template for a project report" because the headings and wording are the ones your people already know, not the model's idea of a report. If you've got an official template, paste that in and ask it to match instead.
The guidance lines train whoever fills it in next, so they know what "Summary" means here without asking you. The placeholder list doubles as a checklist: if a real client name's still in there, you'll see it.
Take client names and figures out before you paste, or use a tool that's approved for that kind of document. A real report has them in it.
Then read the template with a different document in mind. If a section only makes sense for the original, it was content, not structure. When you've got one you like, save it somewhere you'll find it again.
